1. Who we are
WS Academy is the training division of Williams Signal, Inc. (“WS,” “we,” “us,” “our”).
This Privacy Policy describes the types of information we may collect or that you may provide when you access or use our website at academy.ws.solutions (the “Website”), including when you create or use an account via the Website (a “WS Academy Account”) (collectively, the “Services”), as well as our practices for collecting, using, and disclosing that information.
This Privacy Policy applies only to information we collect through the Services and in email, text, and other electronic communications (“Communications”) sent through or in connection with the Services, and does not apply to any other websites where it is not posted, including any third-party websites.
When you use or visit academy.ws.solutions, you’re interacting with our Services. We’re committed to handling your Personal Information (as defined below) transparently and responsibly. Please read this Privacy Policy carefully. If you do not agree with our policies and practices described herein, do not create a WS Academy Account or use the Services, as by doing so, you agree to this Privacy Policy and to be bound by it.
2. Information we collect
We collect the following categories of personal information, which includes information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular natural person or household, and excluding publicly available information, de-identified information, or aggregated data as defined by applicable law (“Personal Information”):
- Account information: first name, last name, email address, phone number.
- Enrollment data: classes you’ve signed up for, payment history, dietary preferences.
- Communication preferences: whether you’ve opted in to marketing email and/or SMS.
- Technical data: IP address, browser type, device type, page-view analytics via Vercel Web Analytics (privacy-friendly, no cookies).
- WS technician status: for WS technicians, we look up your email in our internal roster to grant free Stagehand access. You may also voluntarily provide information regarding your experience level when you create a WS Academy Account.
You may voluntarily provide Personal Information to us (such as when you create a WS Academy Account, enroll in classes, etc.), we may collect it from you when you visit or use the Website (such as certain types of technical data), and third-party service providers may collect it from you on our behalf for the reasons described below.
3. How we use your information
- Process course enrollments and payments.
- Send transactional emails (magic-link sign-in, receipts, course reminders).
- Send marketing emails or SMS if you’ve opted in (you can opt out anytime).
- Identify WS technicians for free-access entitlement.
- Improve the Website (anonymous, aggregated analytics only).
4. How we share your information & Sub-processors
We may disclose Personal Information that you provide or that we collect: (a) to our subsidiaries and affiliates; (b) to the service providers listed below and other third parties we use to support our business; (c) to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets; (d) to fulfill the purpose for which you provide it or other purposes disclosed by us when you provide the information; (e) with your consent; (f) to comply with any court order, law, or legal process, including to respond to any government or regulatory request; (g) to enforce our rights arising from any contracts entered into between you and us; and (h) if we believe disclosure is necessary or appropriate to protect the rights, property, or safety of us or others.
We do not sell Personal Information for monetary consideration or share it except as described herein. We do not use or share Personal Information for purposes of targeted advertising.
We share data with the following service providers, each bound by their own data-protection terms:
- Stripe — payment processing (card data goes directly to Stripe; we never see it).
- Neon — database hosting (serverless Postgres).
- Brevo — transactional and marketing email delivery.
- Twilio — SMS delivery (course reminders + Phase 2 authentication).
- Wasabi — course-materials file storage.
- Vercel — site hosting + privacy-friendly analytics.
- FileMaker (WS internal) — read-only email lookup for technician verification.
5. Cookies & analytics
We use the bare minimum of cookies — only what’s strictly necessary for the site to function (e.g., your sign-in session). We don’t use third-party advertising cookies. Analytics is handled by Vercel Web Analytics, which is cookie-free and GDPR-compliant by design. Please see our Cookie Policy for additional information.
Certain portions of the Services and our communications in connection therewith (such as emails) may contain small electronic files known as web beacons, gifs, pixels, or tags, used for analytics purposes (for example, to collect information regarding users who have visited certain pages of the Website or features in WS Academy, opened an email, or otherwise for related statistics (for example, recording the popularity of certain content and verifying system and server integrity)).
6. Your rights
You can request a copy of your data, request corrections, or request deletion by emailing support@academy.ws.solutions. We respond within 30 days. You may also update some of your Personal Information by signing into your WS Academy Account and making changes.
In accordance with applicable law, we will not discriminate or retaliate against you for exercising your privacy rights.
Certain states may provide (now or in the future) their residents with additional rights and choices with respect to their Personal Information. To exercise any of these rights or if you have any questions, please contact us at support@academy.ws.solutions.
7. Data retention
We retain account data for as long as your account is active. Deleted accounts enter a 30-day soft-delete window (for chargeback and legal-hold purposes), after which all personal data is hard-deleted except where retention is required by law (e.g., tax records).
8. Security
We implement reasonable security measures to secure your Personal Information from accidental loss and unauthorized use and disclosure. However, you are also responsible for using the Services within secure environments and keeping your WS Academy Account confidential. Unfortunately, no transmission of information via the internet is 100% secure. Although we do our best to protect your Personal Information, we cannot guarantee the security of your information transmitted through our Services, and any such transmission of Personal Information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures included through the Services.
We use HTTPS-only connections, Postgres Row-Level Security on the database, and store confidential information in encrypted environment variables. We never store payment card data. Magic-link authentication means there are no passwords for us to leak.
9. Children’s privacy
The Services are not intended for children under eighteen (18) years of age. We do not knowingly collect Personal Information from children under 18 or sell any Personal Information from children under age 18. If you are under 18, do not use or provide any information on or through the Website or create a WS Academy Account without parental consent and involvement.
10. Third-party information collection
When you use the Services, certain third parties may also collect Personal Information from you, including our payment processors and other service providers as described above. Any such collection is dependent on the applicable third party’s policies and your privacy settings on that third party’s website. If you have any questions about specific third parties, you should contact them directly. We may also obtain, and potentially combine, Personal Information from other third-party sources, such as publicly accessible sources. Through the provision of our Services, we may also process deidentified or aggregated information that cannot reasonably be used to infer information about, or otherwise be linked to, a particular consumer or household. We are not responsible for any websites or applications where this Privacy Policy is not posted, including on any third-party websites that are linked to from the Website.
11. Changes to this policy
We’ll update this page when our practices change, and email you if the changes are material. Your continued use of the Services after any updates to this Privacy Policy means you accept those changes.
